What to Tell Your Team
This is where most organizers drop the ball. You cannot just send a calendar invite that says "Headshot Day" and expect people to show up prepared. Send a prep email at least a week before the session. Here's what it should cover:
Wardrobe
- Solid colors work best. Navy, charcoal, black, white, burgundy, forest green — all great options.
- Avoid busy patterns, logos, and graphics. They distract from your face.
- Bring a backup option. I always tell people to bring two tops so we can choose the one that photographs better.
- Dress one level above your daily work attire. If your team wears polos, suggest a button-down. If they already wear suits, they're set.
- Iron or steam everything. Wrinkles show up immediately on camera.
Grooming
- Haircuts: Get them a few days before the session, not the day of. Fresh cuts can look too sharp on camera.
- Makeup: Keep it natural. This isn't a glamour shoot. If someone wears makeup daily, they should wear what they normally do — maybe slightly more polished.
- Facial hair: Trim and groom. Whatever their style is, just make sure it's intentional.
- Skin: Moisturize the morning of. It makes a real difference on camera — dry skin reflects light unevenly.
What to Expect
Let your team know this isn't a DMV photo situation. I direct every shot. I'll adjust their posture, angle their chin, tell them exactly where to look. Most people are nervous for the first 30 seconds, and then they relax because they realize they don't have to figure anything out — I handle it.
Logistics: I Bring Everything to You
You don't need to rent a studio or clear out a conference room for the whole day. Here's what I need from you:
- A space about 8x10 feet. A conference room, empty office, or lobby corner works perfectly.
- Access to a power outlet. That's it for infrastructure.
- A schedule. I'll send you a sign-up sheet your team can fill in, or you can assign time slots.
I bring my full lighting setup, backdrop, and all equipment. Within 20 minutes of arrival, the mini studio is built and ready to go. When we're done, I pack up and you'd never know I was there.
On-Location Coverage
I'm based in Camarillo, and I cover Ventura County at no extra charge. For companies in Santa Barbara or Los Angeles areas, there's a $75 travel fee. That's it — no hidden costs.
Pricing
Corporate headshot day pricing is straightforward:
- $150 per person for groups of 5 or more
- Each person receives 1 professionally retouched headshot
- Additional retouched images available at $95 each
- Same-day previews — your team sees their photos before I leave
- 24-48 hour turnaround on final retouched images
A $500 deposit reserves your date. The remaining balance is invoiced before the session.
For smaller teams of 2-4 people, I recommend individual sessions instead — you'll get more variety and time per person. Check out my headshot packages for those options.
